# Expenses on mobile

> Attach a memo, spend category, and receipt to a card transaction and submit it for approval from the Dash.fi iOS and Android mobile app.

The expense sheet lets you annotate a card transaction with a memo, spend category, and receipt, then submit it for approval — all from your phone.

## Opening the expense sheet

In the **Activity** tab, tap any non-declined transaction. The expense sheet slides up from the bottom.

You can also tap **Add expense** on the home screen to go straight to the Activity tab.

## Filling in the expense

**Memo** — a free-text description of what the transaction was for. Type directly into the memo field.

**Spend category** — select a category from the list. The app suggests up to three options:

* An **AI suggestion** (marked with a sparkle icon) based on the merchant and transaction context
* Up to two additional suggestions based on your account's category history

You can select any category from the full list if none of the suggestions fit.

Both fields save automatically as you type — no save button needed.

## Attaching a receipt

Tap one of the three source buttons to upload a receipt:

| Source     | Description                           |
| ---------- | ------------------------------------- |
| **Camera** | Take a photo directly in the app      |
| **Photos** | Pick an image from your photo library |
| **PDF**    | Select a PDF from your files          |

Accepted formats: JPG, PNG, PDF. Maximum file size: 10MB.

Once attached, the receipt appears as a tappable preview in the sheet. To replace it, tap a source button again.

## Viewing an attached receipt

Tap the receipt preview in the expense sheet to open it in the app:

* **Images** (JPG, PNG) open in a full-screen viewer. Pinch to zoom and drag to pan. Tap **✕** to close.
* **PDFs** open in the in-app browser.
* **Other file types** hand off to your device to download or open in another app.

The app refreshes the download link each time you tap, so receipts always open even if you've left the expense sheet open for a while.

## Submitting

Once you've filled in the required fields (your company policy determines which are mandatory — memo, category, receipt, or a combination), tap **Submit**.

The expense can be:

* **Auto-approved** — immediately moves to Approved if your policy allows it
* **Sent for approval** — an approver is notified and must review it

If the expense is **returned**, you'll see a banner explaining what to update. Make the changes and resubmit.

## Expense statuses

| Status    | Meaning                                         |
| --------- | ----------------------------------------------- |
| Draft     | Started but not yet submitted                   |
| Submitted | Sent for approval                               |
| Approved  | Approved                                        |
| Returned  | Sent back for changes — resubmit after updating |

  If your organisation hasn't enabled the Expenses product, the expense sheet will show a locked state. Ask your admin to enable it from the web dashboard.
