Dash.fi uses role-based access to make sure each team member sees and can do exactly what they need. You assign a role when you invite someone to the account.

Roles

Role details

Administrator

Full system access with control over all features, settings, and user management, except for customer rewards. Administrators can manage users and groups, issue and approve cards, view all transactions, manage financial accounts, trigger payments, configure accounting sync, manage integrations, and manage agents. Administrators are also the only role that can complete your account’s application and change organization-wide 2FA policy. Assign to your company owner or finance lead.

Manager

Manages their team’s spend and approvals. Managers can invite people, manage their team’s membership and budgets, issue cards for their team, review card requests from their team, and view their team’s card transactions. They can’t access company-wide financial data or settings.

Employee

The standard role for cardholders. Employees can request a card, use cards assigned to them, reveal their own card details, submit their own expenses for approval, and view their own card transactions. No visibility into company-wide data.

Accountant

Read-only access of the accounting domain. Often useful for external accountants who need to audit and monitor financials but are not authorized to transfer funds. Accountants can view financial data, transactions, budgets and statements, and manage accounting synchronizations. They can’t move funds or manage users.

Bookkeeper

Full accounting access. Bookkeepers can manage financial accounts, process payments, handle expenses and maintain financial records, plus manage people, teams and budgets. Includes everything the Accountant can do, and adds the ability to move funds, issue cards, and manage agents. Assign to an external bookkeeper or senior finance operator who needs hands-on account access.

AP Clerk

Focused on accounts payable. AP Clerks can process accounts payable, manage bills and vendors, view financial accounts, statements and budgets, and make payments. No access to card management or accounting sync.

IT Admin

Integration management only. IT Admins can configure Dash.fi integrations with external systems. No access to financial data. IT Admins have read-only visibility of Bill Pay’s connected mailboxes — connecting or disconnecting a mailbox is done by an Administrator, Accountant, or Bookkeeper.

Rewards admin

Manages customer rewards. Rewards admins can view the rewards overview, rewards cards, transactions, and contract terms. No access to core spend management, financial accounts, or company settings.

Inviting a user

Go to Company → People and click Invite Person. Enter the person’s name and email address, then select their role. They’ll receive an email to set their password and activate their account. To invite several people at once, click Imports on the People tab and start a new import. You can upload a CSV, pick a role for each row in the review step, and send all invites in one go.
